Keep your PMS.
Finish the work around it.
Your clinical note belongs in the chart. Your referral letter belongs with the referring doctor. Your office needs its files where the team can find them.
ToothNote.ai helps the reviewed work reach its next destination, while your practice keeps the systems it knows.

to the patient's chart.
Bring patient, referring-doctor, and supported exam context into ToothNote.ai. Through an enabled Open Dental connection, reviewed documents and verified periodontal measurements can return to the patient's chart.
We'll confirm the workflows enabled for your practice during setup. Scheduling, billing, and the official chart stay in Open Dental.

Your name in their inbox.
Send approved referral and patient letters from your practice's verified email domain. The recipient sees the office they know, and replies go to the address your team uses.
Verify your domain once. A downloadable DNS setup packet gives your IT contact the records they need.

Let the filing follow.
Connect Dropbox, Box, Google Drive, or Microsoft OneDrive to save reviewed exam notes, referral letters, and patient letters where your office works. Choose automatic saving after approval, or save a document yourself. We'll confirm account eligibility and complete a first-save check with your team.
- Set it up once.
Connect your account, choose which documents to save, and set your filing preference.
- Find the patient's work together.
Organize by patient, by day, or in one folder with the patient's name in each filename.
- Know when it has arrived.
The document's save status and a link to the destination put the result within reach.
Use a practice-approved storage account with a Business Associate Agreement (BAA) in place with your storage provider. Vendor approval and your organization's account policies can affect connection availability. Cloud saving files a document in your drive; your PMS chart remains a separate destination.
Copy, paste & download
Available todayA practical path into
the system you know.
Using a Windows-based PMS? The useful question is where your team enters a note or attaches a document. We help you identify that step, so moving the finished work is clear.
Reviewed findings and treatment plan.
Clinician-approved note text.
1. Use Copy on the reviewed note in ToothNote.ai.
2. Paste into a field that accepts text, then save in your PMS.
Illustration, not a specific PMS screen. The steps depend on your system and the field you use. This transfers note text; it does not copy an entire patient chart.
Need a document instead?
Download the finished file from ToothNote.ai and attach it using your PMS's document-import workflow, where supported.
Bringing existing records into ToothNote.ai?
Start with a note you can select or a file your PMS can export. The available route depends on that system. We'll walk through it with your team during setup.
A few practical
questions.
Do I have to replace my practice management system?
No. Your PMS stays the official record for scheduling, billing, and practice operations. ToothNote.ai supports the documentation and communication around the specialist encounter.
Does saving to Dropbox also put the file in my PMS?
No. A cloud connection saves a file in the connected drive. Filing into a patient's PMS chart is a separate step or a supported direct integration. Connect one cloud drive per practice. Microsoft OneDrive uses its ToothNote.ai app folder; SharePoint and Teams libraries are not included.
What does "copy and paste" move?
It moves text from a reviewed note or letter into a destination that accepts text. It does not transfer an entire patient chart or turn note text into structured periodontal measurements. For documents, use the supported download and import path.
Who can see the files in my drive?
Your storage account's folder-sharing settings determine who can see saved files. Use a practice-approved account, check access with your administrator, and have a BAA in place with your storage provider before saving patient information.
What if my PMS isn't listed?
Tell us the system and the task you want to finish. During guided setup, we'll check the available copy, download, and connection options for that workflow.
Show us where your work needs to go.
Tell us your PMS, where the office stores documents, and how you send letters today. We'll work through the right setup together.
